ARCHITECTURE OF THE DATA BASE

The organization of the archive data base follows the descriptive model proposed by the INTERNATIONAL COMMISSION ON ARCHIVES (ICA) with the INTERNATIONAL STANDARD OF ARCHIVAL DESCRIPTION (ISAD).

The model identifies 4 levels of description, to which a like number of types of record with specified information outlines correspond.

The first identifying level is that of the COLLECTION. Every archival collection therefore occupies its own independent data base.


LEVEL 1
COLLECTION
The collection of documents, without regard for the form and support , naturally generated and/or accumulated and used by a particular person, family, company or collective body in the carrying out of their own activities and functions.

LEVEL 2
SERIES
Documents organized according to rules or maintained as a collection inasmuch as deriving from a same activity, through formal characteristics or through any other relation deriving from the producer of the archive.

LEVEL 3
ARCHIVAL UNIT
A file of documents, normally included in a series, which can be described as a unit.

LEVEL 4
DOCUMENTARY UNIT
A single indivisible unit in an archival whole.

A level above the first has been foreseen: Level 0 PRESERVING BODY, to give information on the various Institutes which physically preserve the documentation dealt with in the data base.

The organization of the data base of documents/photos is simpler as it is not structured in the archival sense: the documents acquired, or entirely typed in, have been 'marked' with some specifics that permit the user to trace them following some possible research routes.
